My name is Karin West and I operate as a solo-entrepreneur translator and editor in the United States of America in the State of Illinois. When you visit my website, I collect certain personal information. Personal information is any data with which you could be personally identified, for example, your email address, name, etc.

Data transmitted via the internet (e.g. via email) may be subject to security breaches. Complete protection of your data from third-party access is not possible.

WHY I COLLECT AND PROCESS YOUR PERSONAL DATA

I collect, store and use your personal data only to issue a quote, provide a translation or editing service that you request or to comply with legal requirements.

Personal data collected may include your name, postal address, email address, phone number, ID and/or tax number, payment and delivery conditions. Personal data may also include special categories, but only if you send me this data for the specific purpose of translating it.

Other data is collected automatically by my IT system when you visit this website. This data is primarily technical data such as the browser and operating system you are using or the time and date of your virtual visit. That data is collected automatically as soon as you enter my website.

I do not use your personal data for marketing purposes.

LEGAL GROUNDS

The legal basis for processing your data is to perform the services you request or to take necessary steps prior to fulfilling that request (“performance of a contract”). This basis also applies if you provide me with a service.

The legal basis for processing special categories of personal data such as health information is your explicit consent for me to translate, revise or edit that information (“consent”).

WHO ELSE RECEIVES YOUR PERSONAL DATA

When I send a text for revision or editing to a colleague, or if I seek a trusted colleague to help me with a translation project, that colleague must sign a confidentiality agreement (NDA) before they are sent any document for a quote. They will be advised of their legal obligations in relation to confidentiality and professional secrecy.

For administrative purposes, other parties, including my accountant and the providers of my cloud backup, website and email hosting services, may have access to your personal data. These parties are located in the US and are companies that are self-certified under the US Privacy Shield framework, or if located in the EU, they are GDPR-compliant.

HOW LONG DO I KEEP YOUR PERSONAL DATA

  • For quotes, I delete all personal data after six months
  • For services rendered, I keep personal data for seven years to comply with US tax obligations and, if it is embedded in a translation, for up to ten years to preserve the integrity of my personal translation resources.
  • For services received, I keep your personal data for seven years for administrative purposes.
  • I delete email communications after five years.

YOUR DATA ACCESS RIGHTS

You may contact me at any time to request a copy, rectification or erasure of your personal data. I will take action without undue delay and in any event within one month of receipt of the request.

YOUR RIGHT TO LODGE A COMPLAINT

Should you have any concerns about how I process your personal data, please contact me. You also have the right to lodge a complaint with the supervisory authority in your country.

NOTE ABOUT ANALYTICS AND THIRD-PARTY

When visiting my website, statistical analyses may be made of your surfing behavior. The analysis of your surfing behavior is anonymous, that is, I will not be able to identify you from this data.

For security reasons, I use third-party tools to safeguard and maintain my website. I chose my providers very diligently and, where necessary and appropriate, data processing agreements are in place.
